Understanding the significance of cultural differences and the impact on communication improves the capacity of individuals to develop relationships with other people. Norms, values and practices define behaviors in communication and intercultural competence facilitates intercultural communication and interactions. Acknowledging the role of culture in defining communication facilitates the process of developing interpersonal relationship in formal and informal settings (Braslauskas, 2021). The purpose of this paper is to provide an overview of the role of culture in communication, relationships, conflicts, and cultural transition. It offers an overview of the major aspects of cultural differences and how intercultural competence may affect communication in a diverse context. The paper further describes the process of relationship building across cultures and the significance of inclusivity and equity in advancing diversity. It describes a summary of the role of technology in intercultural communication and presents a personal reflection on culture on communication. Understanding Cultural Differences Diversity in the modern work and social environment poses challenges in communication as a result of the differences in expectations of people from different cultures. Body language is one of the cultural factors affecting communication that causes barriers in language among people from different communities (Byram & Golubeva, 2020). In intercultural communication, body language and space may send the wrong impression when people interact in the formal and informal settings. For instance, the Mexicans favor eye contact and gestures during their interaction while such body language may be offensive among most Asian cultures. There are significant cultural differences in how people address people during their first interaction. Asians are more reserved than people from western cultures during their initial interactions especially in formal settings such as business meetings. Language is an important part of cultural differences that affects communication such as when migrants come into the United States and face challenges speaking English. Cultural norms, values, and practices affect expectations, perspectives, and behavior during intercultural communication. In each culture, norms shape expectations of behavior and define the rules of interpersonal interaction in varying settings. People expect that others will abide by such rules and intercultural communication may cause barriers when there are differences in norms. For example, directness is a major characteristic of the American norms in communication while major European cultures emphasize on hierarchy and respect. Values define the expectations and behavior on how cultures address various important topics during communication (Kohli Bagwe & Haskollar, 2020). The expectation of the value of freedom may differ between the American culture and the Chinese culture. People’s expectations and behavior are defined by their emphasis on critical societal values in their culture. Cultural practices define behavior and affect intercultural interactions by influencing how individuals develop and value relationships. Norms, values, and practices define expectations and behavior among cultures and translate to differences in communication styles. Developing Intercultural Competence Developing intercultural competence demands an understanding of communication theories and their application in intercultural interactions. Expectations and behaviors vary across cultures and affect fundamental aspects of verbal and non-verbal communication. Failure to adapt to the cultural dimensions of communication in a diverse cultural environment could lead to communication failure. Geert Hofstede’s theory of cultural dimensions develops a framework of how values relate to behavior and define approaches in communication. Expectations and behavior differences affect the effectiveness of intercultural communication and competence. According to Fons Trompenaars’s seven dimensions of a culture, people from different cultures differ depending on their preferences in universalism vs. particularism, individualism vs. communitarianism, specific vs. diffuse, neutral vs. emotional, achievement vs. ascription, sequential vs. synchronous time, and internal vs. outer direction (Woolliams & Trompenaars, 2024). Intercultural theories and concepts affect communication by defining expectations of people from a particular community or nationality. Effective communication across cultural divides is an important attribute in formal and informal interactions in a diverse social environment. Active listening is a strategy that ensures an individual observes patterns of communication and behavior from a different culture to respond effectively during interactions. It offers individuals the opportunity to learn about the expectations and behaviors of other cultures to avoid unpleasant interactions. For instance, people from the Japanese culture nod to demonstrate that they are listening to a speaker while such gestures may indicate acceptance in the American culture (Byram & Golubeva, 2020). Active listening facilitates agility during intercultural communication when norms and practices may affect how people speak and interpret speech. Empathy refers to the ability of an individual to place themselves in the position of another person during intercultural communication. Learning other cultures’ expectations increases the ability to be accommodative of individuals’ differences and promotes intercultural competence. Adaptability is an important strategy of intercultural competence since it ensures that a speaker can vary their communication depending on the expectations of their audience. Addressing and resolving Interpersonal Conflicts Conflicts in multicultural settings arise from the variation in beliefs, expectations, and practices among people from different cultures. When people share different beliefs, they are unable to set team priorities and emphasize on following a particular path towards universal success. Multicultural teams experience differences in experiences and expectations that may amount to conflicts during interactions (Setti et al., 2022). The lack of shared beliefs is more likely to arise when individuals have differences in cultural backgrounds that cause varying expectations. Communication breakdown is a cause of interpersonal conflicts in multicultural settings since it leads to disputes in interpretation of speech. Some cultures prefer direct communication while others are more reserved concerning delicate matters to their audience. Conflict resolution strategies sensitive to multicultural differences contribute to intercultural competence and strengthen positive relationships. Fostering cultural awareness promotes sensitivity to essential differences across cultures and facilitates conflict resolution. Individuals are more empathetic about their cultural differences when they learn the significance of culture in communication (Byram & Golubeva, 2020). In formal business settings, cultural awareness training promotes the capacity of individuals to cooperate and work effectively with peers from different cultures. Effective communication and adaptability promotes cultural conflict resolution in diverse social environments. Being an active listener and adapting to different cultural contexts reduces the risk of conflicts resulting from intercultural differences. Flexibility fosters the understanding of differences in perspectives among peers as a result of potential cultural differences in a diverse social and work environment. An example of successful conflict resolution in a diverse context is when the employees of an American firm receive cultural diversity training when working in a subsidiary in Japan. There are significant cultural differences that affect communication in the workplace and define how individuals interact in the organization. Incidents of interpersonal conflicts result from or escalate as a result of cultural differences in communication between American and Japanese employees (Du, 2022). The managers may offer intercultural sensitivity and competence that describes the expectations and behaviors in the two cultures. The organization achieves conflict resolution between the two groups by conducting training for both groups on intercultural communication in the workplace. Enhancing Relationship Building Cultural awareness contributes to the success of interpersonal relationships by ensuring that individuals identify and acknowledge the significance of their own beliefs and behavior in intercultural interactions. Determining the values and beliefs of one’s culture demonstrates how they contribute to the success or failure of a relationship. Through cultural awareness, individuals recognize the role they play in the success of relationships with people from other cultures. Cultural awareness shows the differences between one culture and another and how they may affect people’s expectations and behavior (Setti et al., 2022). When developing an interpersonal relationship with an individual from a different culture, learning about their values, beliefs, and behavior reduces the risk of failure in interpersonal relationships. To foster trust and positive interactions in diverse contexts, one should be flexible and adaptable to changes in expectations and behavior. The strategy enables individuals to be open to change in how they interact with other people and the expectations they have from their partners in relationships (Du, 2022). Expectations and behaviors shape interpersonal communication and it is important to be flexible to change in diverse contexts. Learning is a skill that can increase the success of developing relationships in diverse contexts. It facilitates flexibility by shaping behavior and beliefs during interpersonal interactions in culturally diverse contexts. Being open to new ideas in interpersonal communication increases the success of building successful relationships in diverse contexts (Du, 2022). Finding a common ground increases the success of interpersonal interactions with people from other cultures since it avoids violations of norms, values, and core beliefs. A practical example of an interaction in a diverse context is that of an American and a German employee in an organization. One of the differences between the two cultures is the perception of rules especially in the workplace. Enhancing the relationship between the two individuals requires recognition that rules in the German culture are held in high regard while it is common for Americans to question how rules apply in individual instances.
