A Duty holder is a term that describes persons with a duty to maintain health and safety at workplace and include: 1. Persons Conducting Business or Undertaking (PCBUs) is the primary duty holders for any workplace as they include the individual or entity that legally operates the business. PBCUs may be the business owner, commonwealth authorities, on-common wealth licensees and principal contractors depending on the type of organization. PCBUs ensure staffs and visitors to the organization are kept safe. B. Ensure inclusion of employee in workplace health and safety and remains always involved in consultation on changes that will impact them. 2. Officers who include senior executives and participate in decision making within the organization which impacts the entire workforce and the organization. These officers are mandated to ensure organizations comply with legal and ethical requirements. Also must remain updated with work health and safety sources of information to ensure their organizations have the correct resources for minimizing and controlling risks. 3. Workers like employees, contractors and volunteers (involves all persons that carry out tasks for a business). Their responsibilities include: A. Taking reasonable care to ensure their actions or omissions do not cause harm to the health and safety of themselves and others. B. Participate in health and safety consultation and improvements at work. C. Must be responsible for their health and safety while conducting their tasks. 4. Others like customers, clients, supplies, delivery persons and cleaners (those persons who may visit or need to use or conduct business in the workplace). These people are expected to maintain their own health and safety and that of others during their visits at workplace. They are mandated to follow the PCBUs instructions for using the workplace to enhance health and safety at all times. Activity 1.3 A. WHS Standards are the acts of compliance with the stipulated work health and safety acts and regulations. They may include demonstrations like adherence to safe noise levels, proper use of PPE among others. These standards are the set limits that ensure actions to enhance safety at workplace remains known to all and carried out by all persons. Since effective communication involves legal jargon and wording, one must ensure specific terminology remains clearly explained, written communication is clear and message not open to interpretations. Such consideration enhances delivery of the intended text (in relation to work health and safety) to the target audiences (workforce) at all times. The main purpose of consultation is to inform on and discuss a specific subject matter in order to make decisions and reach agreements. A. Open-questioning: questions designed to lead the person into giving a fuller answer. B. Closed-questioning: questions that require short and definitive answer. C. Problem questions: questions that help communicator find out information and further details. D. Confirmation questioning: questions that allow parties to form an understanding of an outcome. Listening is also about understanding the other person’s point of view, their perspectives and feelings. It is the act of listening and confirming ones understanding through repeating back what has been said as well as recognising the feelings and emotions of the speaker. In its simplest form, one can define collaboration as an act of coming together for a mutual course. Paying close attention on communication, one can argue that collaboration is an aspect/approach that enhances realization of the communicator goals/mission. Collaboration allows communicators to come into a consensus in relation to the topic of discussion. Collaboration in relation to workplace communication becomes realized when different parties having different ideas and approaches towards realization of the set organization goals swallow their pride and come together for a common approach towards their mission. It is the act of listening to each other and being considerate of other people’s ideas, sentiments and approaches without interruptions that the team come into consensus on the best approach to employ to achieve their organizational goal. Paying close attention on collaboration at workplace, it is imperative to note that this aspect is well expressed when different departmental ideas are placed on the table and discussed by different departmental representatives to seek for the best way forward. In such an instance, collaboration becomes defined by the communicators’ ability to put aside their differences and work together to reach a mutually beneficial outcome. Such communication becomes successful when the communicators encourage each other through facilitating and encouraging discussions and meetings in relation to the issue at hand. Collaboration is simply the process of taking into consideration all positions and using a fair process to reach the eventual goals which brings happiness and satisfaction amongst the communicators. Collaboration requires the input of all communicators involved without any form of ignorance, rejection or discrimination as every communicator’s contributions serves as strong determinants of the final decision in relation to the topic of discussion. In relation to our topic on WHSMS, collaboration with regard to the final decision on the best system an organization to employ/implement or any amendments therein, the contributions/inputs of the employees, managers, WHS personnel and others remains essential throughout the process.
A. The benefit of collaboration is that it enhances realisation of mutual outcome within a workplace. For instance, the IT system (IT department experts) within the organization must collaborate with experts in the field of health and safety to enhance a safe working environment for all. It is through the two team collaboration that the harms and risks that the workforce remains exposed to while undertaking their daily task becomes well noted and solutions provided and communicated to all through the collaboration of the two teams. B. the disadvantages of the IT team and the expert in health and safety department failure to collaborate can increase workforce exposure to risks and threats as their needs will remain un-addressed. Most of the organizations goals will remain unachieved or delay in being realized as most of the time the two teams will be communicating irrelevant issues to the workforce and delay in responding to their urgent needs. C. The barriers to collaboration include ineffective communication which may lead to misinterpretation of the text delivered. For instance the IT department may misinterpret a simple hazard address concern from the health and safety experts based on the way the text is communicated which may amount to differences amongst the two group. D. improvements that can induce it: Employment of the right communication conventions proves essential in improving collaboration amongst communicators. Such an argument implies that, the communicating parties must be willing to learn and understand how to best employ and interpret formal and informal communication. Wording must be concise and messages must be open to interpretation to enhance understanding and delivery of the text as intended which will enhance collaboration in a great manner.
