Institutional Affiliations: Date: To: Dwight Subject: Enhancing Effective Communication at Easy Chairs Dear Dwight, I take this opportunity to express my concern concerning the on-going leader-team communication problems at Easy Chair. I believe effective communication at workplace serves as strong pillars to a quicker realization of the set organizational goals and vice-versa. According to (Week 2 readings, 2021), workplace communication serves to exchange ideas and information from one worker to the other within the organization. Effectiveness in the workplace communication process only occurs when the communicators have defined the ability to convey information accurately and efficiently. Unfortunately, though a leader, Josh does not express such abilities while communicating his great ideas to the workers, which hinder his potentials to translate vision into reality at Easy Chair thus cause for alarm. To address the on-going problem, I believe it is best to consider lee Iacocca's advice on the merits of ensuring a potentially effective communicating leader within an organization. Iacocca argues that "you can have brilliant ideas, but if you can't get them across, your ideas won't get you anywhere." Effective communication, therefore, remains as the only remedy to the noted team complaints within Easy Chair. Having a word with the teams will offer you a clear insight into what problems they encounter with Josh. On the other hand, facing Josh and communicating with him will offer a clear understanding of his communicating inabilities while addressing and delegating roles to Easy Chair workers. After hearing the story from both sides, making the right decision on the best ways to address the on-going problem will become defined. It is essential to note that both parties will feel contented to spit all that is in their hearts, which offers a robust platform to formulating future strategies/plans to minimise or avoid a repeat of such a problem within organizations (Schilling, 2012). It is also essential to ensure the use of the right communication tools while addressing Easy Chair workers to get to the bottom of the problem and offer a lasting solution. Low concern for workers is among Josh's significant communication issues, which enhance communication problems amongst easy Chair teams. Based on the scenario, one can confirm that Josh does not care on whether the workers are comfortable with his instructions or not. Such an issue is well expressed through Josh confirmation of his assumption that all workers are comfortable with his instructions even though in most instances, he gets no feedback from the workers upon sending the workers emails. On the other hand, team members do not express any concern on Josh instructions which are well expressed through their non-reaction to Josh emails. With little feedback, a leader is entitled to take the initiative of meeting with the workers and engage in a face-face conversation to understand their reason for not responding to the instructions sent via email. Another issue is poor listening which Josh expresses while instructing Joan on the changed design along the hallway. It is quite unfortunate that Josh does not seem to understand that communication is a two-way exercise. To this effect, while communicating any changes, the need to offer Joan a chance proves essentials and allowed for a proper understanding of the anticipated design as directed by the client. Wrong instructions and poor documentation of the delegated roles is another issue of concern that mounts differences between Josh and the teams. Josh does not seem to understand who he assigned what. The scenario best explains this misunderstanding after Joan and Don worked on the same task to deliver to Josh instructions. Unfortunately, Josh defends himself by defining the two workers as poor listeners even after such an incident. Finally, Josh does not seem to value the need for a robust leader-worker relationship which is best expressed by transformational/democratic leaders within organizations. Sending instructions and waiting for the last-minute rush is not the best way to enhance a team-leader relationship. Josh needs to wake up and learn to mingle with the teams to understand their strengths and weaknesses, thus helping them where need be. With such an approach, the misuse that teams experience from their leader can become well addressed. According to Schilling (2012), listening skills is the key to ensuring effective communication among communicators. For this reason, the need to apply this technique is essential in enhancing a good communication relationship between Josh and the teams.
