One of the key aspects of making a presentation is being able to plan and execute contingencies for problems arising during the course of the presentation. The team should prepare to make changes to accommodate unforeseen events and ensure they meet the expectations of their clients. One of the measures that pentation teams use to respond to contingencies is rescheduling the presentation to a time when the team is complete. An emergency making it impossible for a member of the team to be present requires making a request to the client for another date to make the presentation (Falchetti et al., 2022). Changing the topic to interesting concepts is necessary when some of the audience members appear bored and uninterested. When there are interruptions during the presentation, the team should acknowledge their objections and seek to determine the causes of their concerns. Planning for a presentation that has been rescheduled requires the team to offer a brief and complete explanation for the reasons for their decision. A contingency plan for questions that the team is unprepared to answer involves leveraging on the team to brainstorm for answers to objections. Planning for contingencies during presentations ensures that the team can adapt to measures that ensure they successfully connect with the issues affecting their clients. Concerns and Contingency Summaries Concerns may arise during presentations even when team members have spent sufficient time preparing and rehearsing to gain the client’s trust. One of the problems that may face the team is when a member is unable to present as a result of an emergency (Zhang et al., 2020). Organizations use teams assigned to offer presentations on various aspects of the proposal the company offers their client. During preparation, each member of the presentation team is assigned a particular part of the presentation that they have to prepare and offer to the client. An emergency that makes one of the members unavailable for the day of the presentation could have significant implications on the capacity of the presentation team to meet their objectives. Since the goal is to offer a presentation that captures the interest and attention of the client, the emergency affecting a particular member of the team implies that their role may not be played accurately. The contingency plan for the presentation team is to request the client to reschedule the presentation date to a time when all the members of the team are present. This is an essential decision that will affect the capacity of the group to deliver to their client’s expectation. Assuming that the client has another time available for the presentation, the team leader should request that the client move the date to ensure optimal achievements (Falchetti et al., 2022). The team spends time collecting facts and framing the presentation to ensure that it meets its objectives. Each team member has a unique role to play since they each prepare for the part that they will present to the client. It is necessary to request the client to reschedule since the rehearsing of the presentation occurs for the individual parts that each member presents to the team. Consequently, the team leader should avoid making last-minute changes such as reallocating the role of a member to other people in the team (Zhang et al., 2020). Additionally, presenting without the member who has an emergency could have implications on the morale and the capacity of the other team members to play their role. A good presentation relies on the team planning effectively and implementing the task as they have rehearsed. The team should ask the client to reschedule to ensure that they are making the presentation at full capacity. In addition to the members of the presentation team, concerns may result from the observations the leader observes among the members of the audience. One problem could be audience members appearing bored and uninterested in the presentation. It is necessary that the team ensures that they are engaged with the audience during the entire time of the presentation. As active participants, the members of the audience should follow the presentation and offer feedback where necessary (Falchetti et al., 2022). It is important to constantly review the mood in the room and determine the success of the presentation in capturing the interest of the client. Since the presentation team’s approach should focus on addressing the problems of the clients, it is important that the audience is interested in the information they receive from the team. Lack of interest shows that the method or content that the presentation team is showing to the clients does not align to the expectations of the members. One or a few members of the audience may appear bored and uninterested with the content of the presentation and what the team is showing to the listeners. In such cases, it is necessary that the presentation team changes the topic of the presentation to issues that capture the attention of the audience. They should present ideas, issues, and solutions that interest the individual and change the strategy of the presentation to capture the interest of the audience (Chapple et al., 2022). While the team may have prepared adequately to ensure a successful presentation that presents the ideas they have for the client, it may be necessary to use contingency measures to capture the interest of the audience. The expectations of the clients may not always be aligned with the content that the presentation team has prepared to offer the audience. Such instances lead to lack of interest and boredom among the members of the audience and could affect the decision the clients make over the client. The presentation team should shift to an interesting subject about their presentation to ensure that all the members of the audience show interest and concern. Interruptions show that the members of the audience are interested with what the organizations seeks to offer the client. While a contingency plan is necessary to deal with frequent interruptions, they are not a bad outcome for the presentation team. The questions that the audience raises indicate areas of lack of clarity in the content that the team offers the organization (Chapple et al., 2022).
